Privacy policy
What Fife collects, why, where it goes, and how to get it deleted.
Effective October 9, 2026
Who we are
Fife makes an assistant that people at a company talk to about their work, and software that takes recurring work off their plate. This policy covers the website at usefife.com and the Fife desktop app. Questions or requests: benson@usefife.com.
On this website
If you send us the reply form, we store what you typed (name, email, company, company size and the work you describe), a one-way hash of your IP address used to limit abuse, and your browser's user-agent string. We use it to reply to you and for nothing else.
We measure visits with Cloudflare Web Analytics, which sets no cookies and does not track you across sites. The site sets no advertising or tracking cookies.
In the Fife app
Voice. The microphone is used only while you hold the talk key or have hands-free mode on. Audio is sent to our speech provider to be transcribed, and replies are sent to it to be spoken. Apart from a session you start to show Fife your work (below), we do not keep recordings of your voice.
Your screen. When you ask Fife something, it may capture one image of your screen so it knows what you are pointing at. If you start a session to show Fife how you do a piece of work, it records your screen and narration for that session only, and you can pause or stop it at any time.
Conversations. Your conversation history is stored encrypted on your own computer. To answer you, the text of a conversation (and a screen image, if one was captured) is sent to an AI model provider. Our providers process it to produce the reply and do not use it to train their models.
What Fife remembers about your work. To be useful over time, Fife keeps notes about your work: your role, the recurring tasks you describe, the systems and people involved, and things you said you would do. These notes are stored on Fife's servers under your organization's account. You can ask Fife what it remembers, and ask us to correct or delete it.
Connected accounts. When you connect an account such as Google or Microsoft, we store the access it grants, encrypted. Fife uses it only to do what you ask or what you have set up, such as reading your calendar when you ask what is next or sending an email you asked for. You can disconnect at any time, which deletes the stored access.
Website sign-ins. For a system with no connection, you can give Fife a username and password for that site. They are encrypted on your computer, to a key held only by your organization's Fife account, before they leave it. The AI model never sees them, and they are used only for the task you approved.
Google user data
If you connect a Google account, Fife asks for access to Gmail (to read, search, label, draft and send mail), Google Calendar (to see and add events), Google Drive (to find, read, create and edit files, including Sheets and Docs) and your basic profile and email address (to show which account is connected).
We use this data only to provide the features you use in Fife: answering your questions about your mail, calendar and files, and taking the actions you ask for. Specifically:
- Fife's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- We do not sell Google user data, use it for advertising, or use it to build or train generalized AI or machine-learning models.
- We transfer Google user data only to provide or improve the features you use, for security, or to comply with law. That includes sending the relevant part to the AI model provider that writes Fife's reply, under terms that prohibit it from training on that data.
- No person at Fife reads your Google data unless you ask us to (for example, to fix a problem you reported), it is needed for security or to comply with law, or the data has been aggregated and anonymized for internal operations.
You can remove Fife's access at any time at myaccount.google.com/permissions or by disconnecting in the app.
Who processes data for us
Cloudflare hosts this website and parts of Fife's service. Anthropic and other AI model providers your organization chooses produce Fife's replies. Cartesia handles speech. Hetzner hosts Fife's servers in Germany. Google, Microsoft and other services are involved only when you connect them. Each processes data only to provide its service to us. We do not sell personal information to anyone.
Your organization
If you use Fife through your employer, your organization's account decides which systems can be connected and may block some kinds of access. Your organization is responsible for its own use of Fife under its agreement with us.
Keeping and deleting data
Conversation history on your computer stays until you delete it in the app or remove the app. Connected-account access is deleted when you disconnect. Notes kept on our servers are deleted when your organization's account closes or when you ask. To have your data deleted, email benson@usefife.com; we will confirm within 30 days. Reply-form submissions are deleted on request.
Security
Data is encrypted in transit, conversation history and stored credentials are encrypted at rest, and access to our servers is limited to the people who run them. No system is perfectly secure; if we learn of a breach affecting your data we will tell you.
Children
Fife is a work tool and is not directed to children under 13. We do not knowingly collect their data.
Changes
If we change this policy we will update the date above, and tell users of the app about material changes before they take effect.
